Planning a Fall Fundraiser – When to start?

It’s a new year and it’s time to recharge the fundraising batteries. A common question we encounter from our school groups is “when should we start planning for our fall fundraiser?” Since we work with all types of groups in every region of the country, there’s no one standard answer to this question. This will vary from group to group and many different factors come into play when making this decision. What works for some fundraising groups, may not work for others.

It’s never too early to start planning. If you are the fundraising chair of your organization, you should always be doing your research on possible fundraisers. This should be an ongoing activity. Contact fundraising companies that are of interest to you. Gather basic information for your records. Keep the new fundraising ideas flowing and educate yourself on what’s out there.

Some larger school groups such as a PTO or PTA may have a structure in place where the fall fundraising planning must be determined earlier than most. A lot of this depends on board elections, contractual obligations with previous fundraising companies, and a timeline history of the group. Some groups like to have their fundraisers set before they adjourn for the school year, so their planning will begin in January or February. Others like to wait until the new board is in place a make a decision at the start of the new school year, so their planning really won’t begin until the summer. And some parent groups will not make their fundraising decision until September or even October. Again, it comes down to what works best for your group.

But, do you need to start planning for your fundraiser months ahead of time? Absolutely not! In fact most non-PTA / non PTO groups don’t start planning until just a few weeks before they’re ready to start their fundraiser. So, many will wait until the fall to plan the fall fundraiser. With the programs available at, we need very little lead time to get groups started. In most cases, we can get group started within a matter of days once they make the initial contact.

So as you can see, there’s not a right or wrong answer to this question. And to us, it doesn’t matter. We will work with you months ahead of time. We will work with you just days ahead of time. Whatever work best for your group!
